As a General Affairs Specialist, you will play a critical role in creating an efficient, welcoming, and highly functional workplace environment.
Your work will directly support our employees’ daily experience—from facilities and employee services to vendor partnerships and government interactions.
By ensuring smooth operational processes and high-quality service delivery, you will enable our teams to focus on what they do best and contribute to our overall business success.

 

What you’ll do

In this role, you will oversee a wide range of office and employee support operations:

Employee Services

  • Manage dormitory operations including contracts, compliance, and move-in/out processes
  • Operate commuting bus programs (routes, schedules, vendor coordination)
  • Oversee cafeteria operations, review menus, and conduct monthly service audits
  • Ensure timely replenishment of snacks, beverages, and consumables

Vendor & Contract Management

  • Conduct vendor selection, contract creation, renewal, and management through MyContract
  • Monitor service quality, compliance, and performance
  • Handle cost settlement and payments (P-Card, Concur, AP)

Venue & Event Management

  • Coordinate booking of corporate event venues for conferences, workshops, and trainings
  • Negotiate with hotels, resorts, and service providers
  • Review proposals and quotations to ensure alignment with budget and corporate standards
  • Manage logistics for company-wide events and executive visits

Government Liaison & Administrative Matters

  • Support government agency requests and prepare official reports
  • Process legal/administrative documentation (licenses, registrations, representative changes)
  • Organize official visits involving government and industry partners
  • Manage government fees, memberships, and award/certification applications

Parking & Facility Management

  • Oversee company parking operations and ensure compliance
  • Assign employee/visitor parking and manage RFID card issuance
  • Coordinate with security and facility teams

Office & Space Management

  • Manage office seating plans, meeting rooms, and space allocation
  • Oversee office supplies, procurement, and equipment maintenance
  • Support layout changes and space planning projects

Communication & Reporting

  • Create and distribute internal announcements and newsletters
  • Design event materials (posters, signage)
  • Conduct satisfaction surveys and identify improvements
  • Prepare operational reports (AOP, QOR) and track KPIs

 

Who we’re looking for

Bachelor’s degree in Business Administration or related field
6–10 years of experience in General Affairs or office administrationProficiency in MS Office (Excel, PowerPoint) and ERP systems (SAP preferred)
Strong analytical thinking skillsStrong problem‑solving and decision‑making skills 
Strong interpersonal skills and ability to work harmoniously with diverse teams
A collaborative mindset and positive working attitude
Strong English communication skills (written and verbal)Valid driver’s license

Preferred qualifications

 

Experience in vendor management and contract administration
Ability to work independently with a proactive, service‑oriented mindset
